CaribbeanTales Inc. is a registered Canadian charity.  We are committed to connecting people through film. Our mandate is to foster and encourage intercultural understanding through the creation and distribution of films, television programs and digital projects that reflect the diversity and creativity of Caribbean heritage culture. Our activities include the Annual Film Festival, the renowned Incubator Program, as well as year-round community screenings and partnerships, film production, and distribution.

We are looking for a FULL TIME OFFICE MANAGER and a PROJECT CO-ORDINATOR who will support the day-to-day operations and co-ordination of CaribbeanTales’ programs so as to ensure deadlines and goals are met in a timely fashion.

Responsibilities will include:

Administration:  *Maintain the orderly office environment. *Ensure the up-to-date Database of Company Contacts and the Online Calendar of CaribbeanTales’ activities. *Ensure all project activities and records are appropriately documented and filed. *Provide research and administrative support to the CEO, Project Managers and team, as needed.

Project Coordination: *Ensure that project deliverables are met, on budget and on time.
Staff Coordination:  *Liaising with team members to ensure effective communication. *Assist the  CEO in recruiting, interviewing, and contracting staff- Coordinate weekly meetings with contractors and ensure planned deliverables are met.

General Bookkeeping: – *Monitor, log, and pay monthly expenditures and funds according to established accounting policies and procedures. *Manage financial records and monthly reconciliation of company accounts.

Required Skills, Abilities and Experience:
*Project Management and/or Experience in Administrative Co-ordination.
*Excellent organizational, written, and communication skills. Able to work well as part of a team as well as independently. Able to take direction as well as to assume leadership where required.
*Excellent knowledge of all basic computer programs and software on Mac and PC.
*Proficiency with online conferencing, social media and filing systems especially Google Drive, Skype and others.

Desirable Assets:
*Knowledge of the film industry.  *Not for profit and arts management and administration experience. Desire, ability and willingness to work within the constraints and challenges of the not-for-profit Arts sector.
